Managed IT services pricing — what mid-market actually pays in 2026

$310/user/month at the boutique tier. Why per-seat pricing tells you what you're really getting.

The four tiers

Mid-market managed IT services in 2026 fall into four pricing tiers. The price tells you what you're actually getting:

  1. Commodity SMB: $75-$125/user/month. Helpdesk + RMM + basic AV + patching. Usually offshore tier-1 phones.
  2. Mid-market typical: $125-$200/user/month. Above plus 24/7 helpdesk, MDM, basic vCIO time. Mostly US-based with some offshore.
  3. Mid-market with security bundle: $200-$310/user/month. Adds EDR, MDR-lite, identity, light vCISO. The "all-inclusive seat price" tier most regulated firms land at.
  4. Boutique-luxury: $300-$400/user/month. Senior-only staffing, 24/7 SOC, full vCISO, compliance, AI advisory, named accountable principal.

Atera's 2026 MSP Pricing Guide reports the mid-market and enterprise average at $310/user/month— a 67% premium over SMB-only MSPs at $185/user/month. That premium reflects actual delivery cost, not markup.

Reference math

Here's what actual annual MSP spend looks like at the boutique-luxury tier ($310-$350/user/month):

  • 50 seats × $310 × 12 = $186K/year
  • 200 seats × $310 × 12 = $744K/year
  • 500 seats × $325 × 12 = $1.95M/year
  • 1,000 seats × $350 × 12 = $4.2M/year

Above 500 seats, almost all boutique MSPs switch from per-seat pricing to custom-priced retainers. The accountable-principal model breaks somewhere around 30-50 named clients per practice.

What scales the price up

  • Security bundle.Atera reports a 42% premium when security is integrated — biggest single line-item driver.
  • Regulated industry. Healthcare, FinServ, defense contractors run 20-40% above unregulated peers.
  • 24/7 vs. business-hours coverage. ~25% premium for true overnight + weekend response.
  • Senior-only staffing.No tier-1 script-readers, no offshore phones — the structural cost driver behind the boutique-luxury tier.
  • Multi-site / multi-country. Each additional country adds ~10-15% for time-zone-shifted coverage + local compliance work.

What scales the price down

  • Seat-count discounts above 200 seats.
  • Multi-year commitments (3-year contracts get 5-10% off list).
  • Inheriting existing tooling rather than rebuilding it.
  • Bundling MSP + MSSP + AI + Compliance into a single envelope (~10-20% savings vs. stand-alone).

The opacity problem

Most MSPs hide pricing behind "request a quote." That wastes both sides' time. Buyers complain about pricing opacity far more than pricing magnitude. The vendors that do publish ranges (Atera, Solution Builders, Kaseya, Varcoe) consistently outrank the same vendors' service pages because Google rewards the page that actually answers the buyer's question.
